Checking In a New Version (Re-versioning)

  1. After logging in to iCS, click the Documents icon (if necessary).
  2. In the Personal tab, navigate to the folder where the document is currently stored.
  3. Click the Check Out link next to the document you wish to version.
  4. A box will appear asking if you want to Open, Save, or Cancel.
    If you are:
    1. Making changes to the existing document in iCS:
      1. Click the arrow next to Save and select Save As from the menu.
      2. Navigate to the location where you want to save the document on your computer, and select Save.
      3. NOTE: Documents now must be saved outside of iCS (to your desktop or to an external drive) before selecting the checking them in. Previously, documents could be re-versioned by saving them to a temporary “Documentum” folder within iCS before checking them in.
      4. Make your edits to the document as needed, and click Save.
    2. Uploading a new version of the contract:
      1. Click the Cancel button.
  5. Click the Check In link next to the checked out contract.
  6. Select major version.
  7. Click the Browse button.
  8. Navigate to the new version of the contract.
  9. Select the document; click the Open button.
  10. NOTE: There may be a delay for the screen to refresh and load the content. Add log entry (if desired). NOTE: Metadata information (such as date, amount, etc.) carries over but can be edited if necessary.
  11. Click the OK button.
  12. IMPORTANT: To avoid versioning a checked out document with no changes, right-click the document and select Cancel Checkout.
