Creating a New Contract: Using an Existing Contract (Importing)

  1. After logging in to iCS, click the Documents View icon (if necessary).
  2. Click the Personal tab (if necessary).
  3. In the Personal tab, navigate to the folder where the document will be stored while in development.
  4. NOTE: If the document is not in electronic format, it will need to be scanned and uploaded as a PDF.
  5. Click the Import icon.
  6. Click the Browse button.
  7. Find the file to be imported and then:
    1. Double-click it to open it.
    2. OR
    3. Click on it once to highlight it and then click the Open button.
  8. Click the Add Files button.
  9. Click the Next button.
  10. In the Import: Object Definition window:
    1. Select Contract in the Type field.
    2. Enter information in any other applicable fields.
    3. IMPORTANT: The fields on this tab populate the contract metadata. Metadata is used for searching and reporting. These fields have all been determined to be critical in those functions.
  11. Click the Finish button.

Guidelines for Entry Standards:
  • Use standard naming conventions
  • Do not complete the sections for University Contract Records Office (UCRO) or Capital Programs
