Account Requests

Accounts with the UI eRA application are processed according to the following policy.

Training

Prior to requesting a user account (production account) training on the UI eRA application is highly encouraged. We have a variety of training options available for training with many options specific for the role needed within the application. The USC will be confirming that training has taken place when the request is submitted through the AITS security application. If you would like more information on training our training options, please contact our training specialist.

Security Request

Production accounts for all users will be requested using the AITS USC security application. The UI eRA Help Team selected this methodology based on the following points: 

  1. Granting production accounts to a live application that contains sensitive and proprietary information requires the use of an authorizing mechanism.

  2. Using the University of Illinois’ currently established process through the Unit Security Contact (USC) negates the need to establish another authorizing mechanism.

  3. Using the University of Illinois’ USC security application provides the USC with a consistent submission mechanism for all University of Illinois supported applications.

The security level of an individual’s access in the UI eRA application is based on the i-Card listing for org code. The UI eRA application is able to grant access down to the three digit department code for a department.

Access Level

The access level granted for an individual’s use of the UI eRA application is based on the business need. The following access roles are available for departmental users: 

  • Investigator

    • This is granted on the individual level and provides access to Proposal Development and the ability to create a proposal within the application.

  • Investigator with Management

    • This is granted on the individual level and provides access to Proposal Development and the ability to create a proposal within the application.

    • Additional functionality provided is access to Proposal Tracking and the ability to view the individual’s proposals.

  • Department Administrator

    • This is a view only access is granted on the departmental level and provides access to all proposals for the requested department through the Proposal Tracking module.

  • Department Administrator II

    • This limited edit/full view access is granted on the departmental level and provides access to all proposals for the requested department through the Proposal Tracking module.

  • Access Reports

    • The use of the system delivered reporting tool is available in addition to the above noted roles. Data returned using the reporting tool is limited to the security access defined by a users’ role in the system. Simply stated, if you are able to see the information using your access within the application, you will be able to report on it.

The AITS USC will use the USC security application to request new accounts, request termination of accounts or changes in access level within the application. If the USC has questions on the appropriate security level and role appropriate for the account request, please contact the UI eRA Help Team prior to submission of the request via the security application.
