How To Get A P-Card

1. Schedule Cardholder/Reconciler/Approver/Delegate or Department Card Manager Training

Your department must designate a P-Card Department Card Manager (DCM) and notify UPAY Card Services (formerly Corporate Card Office) with the DCM's name. Prior to being assigned, DCMs must attend training and pass the certification quiz. Consult the training schedule. Contact UPAY Card Services to determine if a P-Card DCM has been established for your department.

2. Cardholders Complete a University of Illinois Purchasing Card Authorization/Agreement and Application Form

The Purchasing Card Authorization/Agreement and Application form Link opens PDF file should be completed, signed and submitted with the Cardholder and appropriate Fiscal Officer/Department Head signatures.

Managers must keep all original cardholders' signed Authorization/Agreement and Applications forms on file. A copy must be faxed to the UPAY Card Services before the application can be processed to the bank.

3. Accessing P-Card: How to Log On

There are two ways to access the P-Card Web-based application:

  1. Through a portal, (https://apps.uillinois.edu Link opens new window) or window, that offers a selection of applications to choose from, including P-Card.

  2. By going directly to a specific URL or Web page. (https://pcard.apps.uillinois.edu Link opens new window).

4. Department P-Card Manager Applies for Card

The department manager applies for your card online.

5. Fax copy of Purchasing Card Authorization/Agreement Application Form to UPAY Card Services

New applications cannot be processed until a copy is received in UPAY Card Services.

6. Forms Go to the Bank and You Get Your Card

UPAY Card Services prints the on-line form, signs it, and sends it to the Bank, the provider of the MasterCard™ P-Card. The bank will mail the card directly to the cardholder's attention at the address provided by the P-Card Department Manager.

The bank will automatically renew cards every two years. Our next renewal date is February 2012, unless notified otherwise by the University.
