Unit Head Responsibilities

The custodianship of property purchased by or assigned to a unit is the responsibility of the unit head as defined in Section 12 of the Business and Financial Policies and Procedures manual. This responsibility includes developing and administering internal procedures for the unit and ensuring that:

  • Physical security is maintained over all property (whether or not recorded on inventory records and whether on or off-campus);
  • Appropriate labels are affixed to University equipment
    • Equipment  > $100 to $499.99 unnumbered "property of" label
    • Equipment => $500 University-numbered label
  • Property reports are prepared as required
  • Physical inventories are conducted at least biennially
  • Documenting and reporting all acquisitions, disposals, and changes in status of unit equipment

Fulfillment of these responsibilities on behalf of the unit head may be delegated to a centralized unit with consent of the Senior Associate Vice President for Business and Finance, or delegate.

Unit heads should review Section 6, Insurance of the Business and Financial Policies and Procedures manual to understand the types of insurance provided by the University. The University does not insure office contents (including but not limited to furniture, equipment, research and scientific equipment) unless the unit head has arranged for insurance through the University Office of Risk Management and paid the required insurance premium.
