Reports
There are several sources of information for fixed assets:
- The Banner database contains the official record of University property. You can log in to Banner and look up an asset
- View Direct provides static month-end reports
- EDDIE lets you process on-demand dynamic reports
- Special Requests lists contact for additional reports
Both View Direct and EDDIE pull data from Banner for their reports.
The Banner Database
The Banner database contains the official records of University property. You can view these fixed asset records by logging in to Banner and accessing the following two forms:
- The Fixed Asset Master Query Form (FFIMAST) allows you to query for an asset record and view such information as PTag number, OTag number, a description of the asset, the cost of the asset, and how and when it was acquired. FFIMAST will also let you find an asset's owner, as well as its location. You can also use FFIMAST to verify that asset changes submitted through FABweb are correct. - The Document History Form (FOIDOCH) allows you to find all the PTag numbers associated with a purchase order or invoice, view purchase order or invoice details, and find other documents (such as requisitions or checks) that are associated with an asset record. To log in to Banner:
View Direct
There are two important fixed asset reports available in View Direct:
- The Location Hierarchy Report (FIFGRLOCH) displays the hierarchical relationship in the Location code structure and lists all current Location codes for University buildings and rooms on each campus. Level 1 of the hierarchy identifies the campus, level 2 identifies the building, and level 3 identifies the room. This report can help you find the correct Location code to use when updating a fixed asset record in FABweb, or to locate items during the biennial physical inventory process.
- The Account Hierarchy Report (FIFGRACTH) displays the hierarchical relationship in the Account code structure and lists all current Account codes in Banner. It is useful when you need to search for a specific Account code.
To access View Direct:
EDDIE
EDDIE is the Enterprise Data Delivery Information Environment used to retrieve, view, and print financial and fixed asset reports.
To access EDDIE:
The following reports are available for fixed asset users:
- UR FIFA Fixed Asset by Organization report will give you a listing of your active inventory of moveable equipment for use in performing your physical inventory requirements. This report may be printed or the inventory report may be saved as an Excel file. Training on how to use this report is available as part of the Introduction to Property Accounting Lesson 5.2.
- FIFX Monthly Activity by Chart and Organization report is used to reconcile your departmental inventory activity with the transactions processed in Banner Fixed Assets each month. The report contains several sub-reports showing new acquisitions, funding changes, disposals, transfers in and transfers out. Training on how to use this report is available as part of the Introduction to Property Accounting Lesson 5.2.
- UR FIFA Commodity Search allows you to search for commodity codes by partial numbers or description. Using the correct commodity code is critical when updating new equipment attributes. Training on how to use this report is available as part of the Introduction to Property Accounting Lesson 5.2.
- UR FIGL LOCATION allows you to search for the correct Location codes by all or part of the following categories; building name or number, room number, Chart, or partial Location code to use when updating equipment attributes in FABweb or locating items. Training on how to use this report is available as part of the Introduction to Property Accounting Lesson 5.2.
Special Requests
- If you need additional information regarding fixed assets that is not obtainable through Banner, FABweb, or other standard reports; special requests for additional data can be emailed to UPAR at obfsuafrproperty@uillinois.edu. When making a special request, please note "Special Request" in the subject line and identify the specific information needed in the email message.
